LoadEx is operated by Akatare Jenga Stores Ltd ("we", "us", or "our") through www.getloadex.com and related LoadEx services. This Privacy Policy applies to transport owners, dispatchers, receiving agents, drivers, and end-customers who use or are served through the LoadEx platform.
We process personal data in line with the Uganda Data Protection and Privacy Act, 2019 ("DPPA") and use that data only for legitimate logistics, fleet, customer-notification, security, and financial-reconciliation purposes.
1. Data Controller Identity
Akatare Jenga Stores Ltd acts as the primary Data Controller for the LoadEx platform. We determine the purpose and means of processing personal data strictly to facilitate cross-border logistics, fleet tracking, cargo accountability, customer updates, and financial reconciliation.
2. Personal Data We Collect
To provide reliable operations and zero-loss accountability, LoadEx may collect and process the following categories of data:
- Identity and contact information: names and verified phone numbers of transport owners, dispatchers, drivers, receiving agents, package senders, and package receivers. Some phone-number checks may be supported by Mobile Money KYC or telecom-network lookup integrations where available.
- Location and tracking data: GPS coordinates, route history, timestamp data, branch movements, dispatch events, receiving events, and other operational location signals collected from provisioned dispatch or driver hardware.
- Operational media: photographs of cargo, packages, receipts, package labels, manifest evidence, and handover evidence captured during the cargo lifecycle.
- Financial data: cash-on-delivery balances, collection records, mobile money transaction reference IDs, repayment records, ledger debt statuses, and reconciliation notes.
- Account and security data: workspace membership, role assignments, sign-in activity, device assignment, operational permissions, and security events needed to protect the platform.
3. Lawful Basis and Purpose of Processing
We limit processing to what is necessary for operational execution, contractual service delivery, legitimate business interests, legal compliance, security, and dispute resolution. We process personal data to:
- generate accurate digital manifests and enforce package accountability;
- provide real-time SMS or application notifications to customers about transit milestones;
- verify receiver identity through telecom or payment integrations to reduce fraudulent handovers;
- capture cargo evidence that helps prevent loss, substitution, false claims, and unclear handovers;
- audit and reconcile financial ledgers between fleet operators and Akatare Jenga Stores Ltd;
- operate repayment, settlement, debt, and automated payment workflows;
- enforce operational restrictions, including dispatch limits or suspension for unsettled debt;
- detect misuse, protect devices, secure workspaces, and investigate operational incidents; and
- comply with Ugandan legal, tax, accounting, audit, and regulatory requirements.
4. Third-Party Sharing and Automated Processing
We do not sell personal data. LoadEx shares limited data with trusted infrastructure partners only where needed to operate logistics, payment, communication, security, and support functions.
- Payment and telecom gateways: phone numbers, transaction references, payment instructions, and settlement data may be securely transmitted to authorized payment aggregators, such as Yo! Payments, and telecom operators for KYC name resolution, mobile money settlement, debt repayment, and delivery of operational messages.
- Artificial intelligence infrastructure: cargo photographs, receipts, package labels, and operational text may be processed through secure third-party AI APIs to generate manifest descriptions, audit receipts, classify cargo, summarize operational information, or query operational policies. This processing is used for real-time LoadEx operations and is not intended to train public third-party models.
- Cloud infrastructure: platform data is hosted on secure enterprise cloud systems with encryption, access controls, monitoring, and operational safeguards.
- Support and compliance providers: limited records may be shared with professional advisers, auditors, legal representatives, or regulators where required by law, contract, dispute resolution, or compliance obligations.
5. Data Retention
We retain personal data, manifest records, tracking histories, cargo imagery, financial records, and audit logs only for as long as necessary to fulfil the purposes described in this policy, comply with Ugandan financial and audit requirements, enforce agreements, support operational accountability, and resolve commercial disputes.
When data is no longer legally, commercially, or operationally required, we securely delete it or anonymize it so it can no longer reasonably identify an individual.
6. Security and MDM Lockdown
We use administrative, technical, and physical safeguards designed to protect personal data against unauthorized access, loss, misuse, alteration, or disclosure.
Physical devices provisioned by LoadEx may be secured using Mobile Device Management ("MDM") software. MDM may enforce kiosk-mode environments, device restrictions, camera access controls, network policies, application controls, and location-tracking requirements so operational data transmission cannot be bypassed, manipulated, or accessed by unauthorized applications.
Users must not disable, bypass, remove, or interfere with LoadEx security profiles, MDM controls, tracking controls, or device restrictions. Doing so may result in account suspension, device retrieval, termination of service, and any other remedy available under our Terms of Service or applicable law.
7. Rights of the Data Subject
Under the Uganda DPPA, users and affected individuals may have the right to:
- request access to the personal data we hold about them;
- request correction of inaccurate or incomplete personal data;
- object to specific types of processing, subject to legitimate operational, contractual, financial, security, or legal constraints;
- request deletion or restriction where the law allows and where retention is no longer required; and
- lodge a formal complaint with the Personal Data Protection Office ("PDPO") of Uganda if they believe their data rights have been violated.
Some objections may affect service availability. For example, objection to cargo evidence, fleet tracking, receiver verification, or financial ledger processing may make it impossible for LoadEx to safely provide dispatch, delivery, reconciliation, or credit-related services, and may result in suspension or termination of access.
8. Public Website and Demo Contact
The public marketing website is intentionally simple and does not require account registration. If the site later adds analytics, forms, embedded services, or other dynamic features, this policy should be updated before those changes go live.
If you contact LoadEx through WhatsApp or another messaging channel, your message may be handled by the relevant third-party messaging provider and by the LoadEx team responsible for onboarding or support. Do not send passwords, card details, private keys, or unrelated sensitive documents through a demo conversation.
9. Policy Updates
We may update this Privacy Policy from time to time to reflect legal, operational, technical, or service changes. The effective date above shows when this policy version became effective. Continued use of LoadEx after a policy update means the updated policy applies to future processing, subject to applicable law.
